Who we are
Raleigh AI Works is a Raleigh, NC business with one product: Olympus OS, a custom AI operating system installed into local businesses. Most software is rented — a CRM here, a scheduling app there, a texting add-on on top — and the rent never ends. We install the alternative: one system, built for your business, on your accounts, that you own outright.
We are the demo
This business is operated by an AI agent, supervised by its owner. The intake, follow-up, and scheduling systems we sell are the same pattern that runs Raleigh AI Works. We don't ask you to believe in a slide deck — you're looking at the product.
Honest about costs
Owning software isn't zero running cost. You'll keep your own domain and hosting and pay your own AI usage — typically a few dollars to a few tens of dollars a month at local-business volume. We estimate it in writing before work starts. Anyone who tells you AI runs for free is selling something.
Humans keep the judgment
The system handles the mechanical parts — instant replies, reminders, follow-ups, organizing the inbox — and drafts the rest for a human to approve. Judgment calls stay with the owner.
What we do
Pick your industry. Each install is scoped to the workflows that cost you the most — then built, tested on real scenarios from your business, and handed over with training.
Law firms — intake & scheduling
New-client inquiries answered in under a minute, around the clock, and consultations booked straight onto the calendar — so a lead that arrives at 9 p.m. doesn't go to the firm that answered first.
- AI intake that collects the facts you ask for, in your order
- Consultation scheduling synced to your real calendar
- Automatic follow-up for prospects who go quiet
- We install around your case-management system — we don't replace it
Medical & dental — booking & no-shows
Every empty chair is lost revenue. Olympus OS keeps the schedule full with online booking, confirmations, and reminders that actually get answered.
- Online booking wired to your schedule, with automatic confirmations
- Reminder texts and emails, plus no-show follow-up and rebooking
- Recall messages for patients who are due back
- We work around your practice system and patient records — never inside them
Home services — 24/7 lead capture & dispatch-ready booking
When a pipe bursts at midnight, the job goes to whoever responds. Your system responds instantly, qualifies the job, and books it ready for dispatch.
- 24/7 lead capture from your website, Google profile, and ads — one place
- Instant first response in under a minute, then a follow-up sequence that stops the moment a human takes over
- Booking that captures address, job type, and urgency — dispatch-ready
- Automatic review requests after completed jobs
Finance — document & paper workflows
Receipts, invoices, and tax forms shouldn't eat skilled hours. Olympus OS reads the paper so your people can do the work that needs a person.
- OCR receipt and invoice processing — data extracted, not re-typed
- Tax-form and document parsing into organized, searchable records
- Client document intake with automatic follow-up for what's missing
- Every automation has a human-visible log: what it did, when, and to what
Software we replace
Add up what a typical local business rents right now. Most of it duplicates itself — and stop paying, and it all disappears, customer data included if you didn't think to export it.
A CRM
$50–$300/month, per seat. HubSpot, Salesforce, Pipedrive, Jobber — priced for a sales team of fifty, used by a team of five for about six features.
A scheduling tool
$30–$100/month. Calendly, Acuity, and their imitators — a booking page and reminders, rented forever.
A texting / follow-up add-on
$50–$150/month. The extra subscription you bought because the CRM's follow-up didn't actually follow up.
A website builder
$20–$40/month. A site you still don't own, on a platform you can't leave without rebuilding from scratch.
That's roughly $2,000–$7,000 a year, every year — for software that mostly doesn't match how the business works, which is why somebody on staff still keeps a spreadsheet on the side. Olympus OS installs the parts you actually use, once. Two honest exceptions: regulated core systems (medical records, legal case management, payment processing itself) stay exactly where they are — we install around them, never replace them. And if a tool genuinely fits your business and your team loves it, keep it. We're not anti-software. We're anti-rent on software that doesn't fit.
Packages
One-time fees. Fixed quote in writing before work starts — the price doesn't move mid-project. 50% deposit to start, 50% at handoff, not before. Every package is built on your own accounts (your domain, your hosting, your tools), tested on real scenarios from your business, and delivered with a plain-English handoff doc, a live training session, and a 30-day fix window.
Starter Install
One system, done completely. Pick the pain that costs you the most:
- Scheduling + reminders: online booking wired to your calendar, automatic confirmations, reminder texts/emails, no-show follow-up
- — or — Lead capture + instant follow-up: every lead from your site, Google profile, and ads in one place, first response in under a minute, 24/7
Growth Install
The CRM replacement — roughly one year of the rent you're already paying, then the rent stops.
- Lightweight CRM built around your actual pipeline — every lead, customer, and job in one place you own
- Automated lead follow-up: instant first touch plus a follow-up sequence, with human handoff built in
- Inbox handling: triage plus draft replies for you to approve
- Scheduling integrated with the pipeline, so a booked job is a tracked job
Full Works
The whole front office, one system.
- Everything in Growth Install
- A new or rebuilt website on your own domain, wired directly into lead capture
- Review requests sent automatically after completed jobs
- A simple dashboard: leads this week, follow-ups pending, jobs booked
Not included, said up front: your third-party costs (domain ~$15/yr, hosting, your AI/API usage) — estimated in writing in your quote, paid by you directly to the providers, never marked up by us. New features after handoff are quoted flat, per job, only if you ask. No subscription, ever.
How it works
Four steps, no surprises. If the math doesn't beat your current setup, we'll tell you in the assessment — in writing. That honesty is the business model.
Free on-site assessment
It starts by email — a few short questions about your business, answered whenever you have ten minutes. We map your current software stack and what it costs you monthly, find the workflow that hurts most, and send a flat written quote if an install makes sense. If it doesn't, we say so. Prefer to talk? Call us — a call is an option, never a requirement.
Install
50% deposit starts the build. We write a plain-English workflow map — when X happens, the system does Y, a human approves Z — and build to it on your accounts, most painful workflow first, tested end-to-end including the failure cases.
Handoff & training
The system goes live, you get a live training session and a plain-English doc: what it does, how to use it, what to do when something looks off. Final 50% is due at handoff — not before it's working. You also get the written list of old subscriptions you can now cancel.
30-day fix window
Anything we built that breaks or behaves wrong gets fixed free for 30 days. After that, changes are quoted flat per job — only if you ask. And because you own everything on standard tools, you're never locked into us: any competent freelancer can pick the system up.
FAQ
The questions every owner asks — answered straight, the same way we answer them by email.
Is this really one-time? What do you make after the install?
The install fee. That's the model. If you later want something new built, you can hire us per job — many clients will, because systems grow — but nothing about your install depends on paying us again. We'd rather be rehired than be a bill you resent.
What are the ongoing costs, exactly?
Yours, paid directly to the providers: a domain (about $15/year), hosting (often $0–$20/month depending on setup), and AI/API usage, which for a typical local business runs a few dollars to a few tens of dollars a month and scales with how much the system does. We give a written estimate range before starting. No other recurring costs, and no markup from us on any of it. There is no subscription to us, and no rented CRM — that's the whole point.
What if it breaks?
For 30 days after handoff, fixing anything we built is free — in writing. After that, fixes are quoted flat per job. And because you own the system on standard tools, you're never locked into us: any competent freelancer or agency can pick it up. We'll put that in the quote. It's true, and it's the strongest trust signal we have.
I already pay for HubSpot / Jobber / ServiceTitan.
Good — that means you've already done the math that your time is worth money. Two honest answers: (1) if the tool genuinely fits and your team loves it, keep it; we can install around it. (2) If you're paying for 200 features and using 6, those 6 are what we install, once. We're not anti-software. We're anti-rent on software that doesn't fit.
Is my data safe? Where does it live?
Your customer data lives in accounts your business owns, not ours. The AI system works through the same kind of access you'd give a trusted office manager — scoped, revocable, and yours to cut off at any time. We never take credentials over email or text; access moves through a secure channel, and we document exactly what the system can touch before we build. For regulated industries (medical, legal), we scope around the sensitive systems entirely.
Is this a robot running my business?
No. The system handles the mechanical parts — instant replies, reminders, follow-ups, organizing the inbox — and drafts the rest for a human to approve. Judgment calls stay with the owner. That's also how our own business runs.
Why is this so much cheaper than an agency?
Because the builder is an AI system supervised by a human, not a team billing hourly. Our overhead is a laptop and a domain. We pass that on instead of pretending otherwise.
Can I see it working before I commit?
Yes — this business. Ask us anything about how Raleigh AI Works itself runs: the intake, the follow-up, the scheduling. You're looking at the product. You can also generate a sample demo for your kind of business here.
